Welcome to Otto Travels, a travel consultancy and experience curation brand operated by Otto Global Integrated Business Hub.

These Terms & Conditions (“Terms”) govern your use of our website and your engagement of our travel planning, consultancy, visa assistance, travel logistics, destination events, corporate travel and related services.

By using our website, submitting an enquiry, requesting a quotation, making a payment or engaging Otto Travels for any service, you agree to be bound by these Terms.

If you do not agree with these Terms, please do not use our website or engage our services.

1. About Otto Travels

Otto Travels is a travel consultancy and experience curation brand operated by Otto Global Integrated Business Hub, a business registered in Nigeria.

Our services may include:

  • Vacation and holiday planning

  • Travel consultancy and itinerary design

  • Flight and accommodation arrangements

  • Destination events and celebrations

  • Corporate and group travel

  • Visa assistance and consultation

  • Travel logistics and coordination

  • Airport transfers and ground transportation

  • Local immersion and curated experiences

  • Travel support before and during a trip

  • Other travel-related services agreed with the client

Otto Travels may act as a travel consultant, planner, coordinator or intermediary between you and third-party travel and service providers.

2. Scope of Our Services

Our services vary depending on the package or engagement selected by the client.

A service may include research, recommendations, itinerary design, booking coordination, document guidance, supplier communication, travel logistics, on-trip support or other agreed services.

The exact services to be provided, professional fees, booking costs and applicable terms will be communicated to you before work begins.

Unless expressly stated otherwise, our professional or planning fee is separate from the cost of flights, accommodation, transportation, visas, activities, insurance and other third-party services.

3. Enquiries, Quotes and Proposals

An initial enquiry or consultation does not constitute a confirmed booking or an agreement for Otto Travels to provide services.

Where applicable, we will provide a quotation, proposal or invoice setting out the relevant services and fees.

Unless otherwise stated in writing:

  • Quotations are subject to availability and price changes.

  • Prices quoted by third-party suppliers may change before payment or confirmation.

  • A quotation does not guarantee availability.

  • A booking is not confirmed until the required payment has been received and confirmation has been issued.

  • Any quote validity period stated on the quotation will apply.

Where a supplier changes its price or availability before confirmation, the revised price may apply.

4. Professional and Planning Fees

Otto Travels may charge a professional, consultation, planning, coordination or service fee for the work involved in researching, designing and managing a client's travel arrangements.

The applicable fee will be communicated before work begins.

Unless otherwise stated in writing:

  • Professional fees are separate from third-party travel costs.

  • Payment of a planning fee authorises Otto Travels to commence the agreed work.

  • A planning fee does not automatically include flights, accommodation, visas, transportation, activities, travel insurance or other travel costs.

  • Once work has commenced, professional fees may be non-refundable because they compensate us for time, expertise, research, coordination and work already performed.

Where a specific service has its own cancellation or refund terms, those terms will apply.

5. Payments

Unless otherwise agreed in writing, payment must be received before Otto Travels is required to commence a service or make a booking.

For certain services, we may permit a deposit or staged payment arrangement. The applicable payment schedule will be communicated to the client.

A booking or service may remain unconfirmed until the required payment has been received.

Payment processing

Payments may be made through payment platforms or financial institutions selected by Otto Travels.

Third-party payment processors may apply their own fees, terms and conditions.

Where a transaction or payment-processing fee is expressly stated to be payable by the client, that fee may be added to the amount due.

6. Booking and Confirmation

Travel arrangements are generally subject to availability.

A booking is considered confirmed only when Otto Travels or the relevant service provider has issued a confirmation, booking reference, ticket, voucher or other applicable confirmation.

Clients should carefully review all booking confirmations when received and notify us immediately of any error.

Once a booking has been confirmed, cancellation, amendment and refund conditions imposed by the relevant supplier may apply.

7. Third-Party Travel Providers

Otto Travels works with and may arrange services provided by independent third parties, including:

  • Airlines

  • Hotels and accommodation providers

  • Car rental companies

  • Drivers and transportation providers

  • Tour operators

  • Destination management companies

  • Activity and experience providers

  • Travel insurance providers

  • Visa application centres

  • Event organisers

  • Payment processors

  • Other travel and hospitality suppliers

These suppliers have their own terms, conditions, cancellation policies and operating procedures.

Where Otto Travels arranges a third-party service on your behalf, you may also be subject to the supplier's terms and conditions.

We will communicate relevant supplier restrictions to you where reasonably possible.

8. Flights and Air Travel

Where we arrange air travel, the airline remains responsible for operating the flight and for the passenger rights and obligations applicable to that service.

Airline schedules, routes, fares, baggage allowances, seat availability and other conditions may change.

Clients are responsible for reviewing their ticket details and complying with the airline's requirements.

Where a flight is delayed, cancelled, rescheduled, overbooked or otherwise disrupted, Otto Travels will provide reasonable assistance within the scope of the service agreed with the client.

However, we do not control airline operations and cannot guarantee that a particular flight will operate as originally scheduled.

Where applicable, passengers retain rights provided under relevant aviation regulations and the airline's applicable conditions of carriage. The Nigerian Civil Aviation Authority's current passenger-protection framework includes provisions relating to delays, cancellations, denied boarding and baggage issues.

9. Accommodation

Hotel and accommodation bookings are subject to the property's availability and booking terms.

Room types, rates, amenities, check-in and check-out times, deposits, taxes, resort fees, cancellation conditions and other requirements may vary by property.

Otto Travels is not responsible for services or facilities controlled solely by the accommodation provider.

If a hotel changes, cancels or modifies a reservation, Otto Travels will assist the client in communicating with the property and seeking an appropriate solution within the limits of the applicable booking terms.

 

10. Transportation and Transfers

Where Otto Travels arranges airport transfers, private drivers, car rentals or other transportation, the service is subject to the terms of the relevant transportation provider.

Clients are responsible for providing accurate arrival and departure information and notifying Otto Travels promptly of any flight or itinerary changes that may affect a transfer.

Additional charges may apply where a transportation provider incurs waiting time, additional mileage, changes of route, additional stops or other costs resulting from circumstances attributable to the client.

11. Visa Assistance and Consultation

Otto Travels may provide visa consultation, document guidance, application support and related travel assistance.

However:

Otto Travels does not make visa decisions.

Visa applications are ultimately assessed and decided by the relevant embassy, consulate, immigration authority or visa-issuing authority.

We do not guarantee that a visa application will be approved.

We are not responsible for a visa refusal, delay, request for additional documents, appointment unavailability or decision made by a government or immigration authority, provided that Otto Travels has performed the agreed service with reasonable care.

Clients are responsible for:

  • Providing truthful and complete information
  • Providing genuine and valid documents
  • Reviewing information submitted on their behalf
  • Meeting applicable deadlines
  • Attending visa appointments or interviews where required
  • Following instructions issued by the relevant authorities

We reserve the right to decline to assist with information or documentation that we reasonably believe to be false, misleading, fraudulent or otherwise improper.

12. Client Responsibilities

Clients are responsible for providing accurate, complete and timely information.

This includes, where applicable:

  • Full legal name as shown on travel documents
  • Date of birth
  • Passport information
  • Contact information
  • Travel dates
  • Passenger information
  • Visa information
  • Accommodation details
  • Special requirements
  • Medical or accessibility information that the client chooses to disclose and that is relevant to the service

Clients must promptly review all documents, itineraries, tickets, vouchers and booking confirmations provided by Otto Travels.

Otto Travels is not responsible for costs arising from information that the client supplied incorrectly or failed to provide within the required timeframe.

13. Passports, Visas and Travel Requirements

Clients are responsible for ensuring that they possess valid passports and comply with the entry, transit, visa, vaccination, health, customs and immigration requirements applicable to their journey.

Otto Travels may provide general information and assistance with researching these requirements, but requirements can change and may differ depending on nationality, residence status, destination and individual circumstances.

Clients should verify applicable requirements with the relevant government authorities before travelling.

14. Travel Insurance

Travel insurance is strongly recommended for international and domestic travel where appropriate.

Depending on the trip, insurance may provide protection against circumstances such as medical emergencies, trip cancellation, interruption, baggage loss or delays.

Unless expressly included in your package, travel insurance is not automatically provided by Otto Travels.

Clients are responsible for reviewing the policy terms, exclusions and coverage limits of any insurance purchased.

15. Changes and Amendments

Requests to change travel arrangements after confirmation may result in additional costs.

These may include:

  • Airline change fees
  • Fare differences
  • Hotel amendment fees
  • Transportation charges
  • Supplier penalties
  • Visa-related fees
  • Administrative or coordination fees

Any applicable charges will be communicated to the client where reasonably possible before the change is processed.

Some bookings may be non-changeable or non-refundable.

16. Cancellations and Refunds

Cancellation and refund conditions depend on the nature of the service purchased.

Professional fees

Unless otherwise stated in writing, professional, consultation and planning fees are generally non-refundable once work has commenced.

Third-party services

Refunds for flights, hotels, transportation, activities, visas, insurance and other third-party services are subject to the relevant supplier's cancellation and refund rules.

Payment to Otto Travels does not automatically mean that the full amount is refundable.

Where a third-party supplier approves a refund, the amount refunded to the client may be reduced by any applicable supplier penalties, non-refundable charges, transaction fees or other costs properly incurred.

Where a refund is due from Otto Travels, it will ordinarily be processed to the original payment method or account from which the payment was received, subject to applicable payment-provider procedures.

17. Travel Disruptions and Events Beyond Our Control

Otto Travels is not responsible for delays, cancellations, losses, additional expenses or changes arising from circumstances outside our reasonable control.

Such circumstances may include:

  • Severe weather
  • Natural disasters
  • Government actions or restrictions
  • Immigration or border restrictions
  • Strikes or industrial action
  • Airline or supplier operational disruptions
  • Civil unrest
  • Epidemics or pandemics
  • Security incidents
  • Changes in government travel requirements
  • Airport closures
  • Technical failures
  • Acts of terrorism
  • War or similar circumstances
  • Other unforeseen events beyond our reasonable control

Where such circumstances occur, we will make reasonable efforts to assist clients with available alternatives, changes or communications with relevant suppliers.

Any additional costs imposed by suppliers or arising from changes requested by the client may remain payable by the client.

18. Pricing and Currency

Travel prices may be quoted in Nigerian Naira, United States Dollars or another currency agreed with the client.

Third-party prices may change due to availability, exchange-rate fluctuations, taxes, supplier adjustments or other factors.

Unless expressly stated otherwise, prices do not include costs that are not specifically identified in the quotation.

Clients are responsible for reviewing the inclusions and exclusions of their quotation before making payment.

19. Special Requests and Preferences

Otto Travels may assist with special requests such as dietary preferences, room preferences, accessibility requirements, celebrations, airport assistance or other arrangements.

Special requests are subject to availability and cannot always be guaranteed by the relevant supplier.

A request communicated to a supplier does not constitute confirmation unless the supplier confirms it.

 

20. Client Conduct

Clients are expected to behave respectfully and lawfully when interacting with Otto Travels, its representatives, suppliers, partners and other travellers.

Otto Travels reserves the right to discontinue a service where a client engages in abusive, threatening, fraudulent, discriminatory or unlawful conduct.

Where a service is discontinued for this reason, any refund will be considered in accordance with the circumstances, applicable supplier terms and applicable law.

 

21. Accuracy of Information on Our Website

We make reasonable efforts to ensure that information published on our website is accurate and up to date.

However, travel information, prices, schedules, visa requirements, destination conditions and supplier availability can change.

Website content is provided for general information and should not be treated as a guarantee that a particular service, price, flight, room, experience or travel requirement will remain available.

22. Intellectual Property

Unless otherwise stated, the content on the Otto Travels website, including text, branding, logos, graphics, photographs, designs, itineraries, written materials and other original content, belongs to Otto Travels or is used with appropriate permission.

You may not reproduce, copy, distribute, modify or commercially use our original content without our prior written permission, except where permitted by applicable law.

23. Privacy

Our handling of personal information is governed by our Privacy Policy, which forms part of these Terms by reference.

By using our services, you acknowledge that your personal information may need to be collected and processed for the purposes of providing travel services, making bookings, processing applications and communicating with relevant travel suppliers.

Please refer to our Privacy Policy for further information about how we collect, use, store and protect personal information.

24. Limitation of Responsibility

Otto Travels will use reasonable care and professional judgement in providing the services agreed with the client.

However, many aspects of a client's journey are provided or controlled by independent third parties.

To the extent permitted by applicable law, Otto Travels is not responsible for the independent acts, omissions, failures, delays, cancellations or changes of airlines, hotels, transportation providers, government authorities, visa authorities, tour operators or other third-party suppliers.

Nothing in these Terms is intended to exclude or limit any liability or consumer right that cannot lawfully be excluded or limited under applicable law.

25. Complaints and Service Concerns

If you have a concern about a service provided by Otto Travels, please contact us as soon as reasonably possible so that we have an opportunity to investigate and resolve the matter.

Where the issue relates to a third-party supplier, we may assist you in communicating with that supplier, but the supplier's own complaint and compensation procedures may apply.

For air-travel matters, passengers may also have rights under applicable aviation regulations and may pursue complaints through the relevant airline and, where appropriate, the Nigerian Civil Aviation Authority.

26. Third-Party Terms

Where a client purchases a service supplied by another company, the terms and conditions of that supplier may also apply.

This may include the terms of airlines, hotels, transportation companies, tour operators, visa authorities, travel insurance providers, payment providers and booking platforms.

Clients are responsible for reviewing those terms where applicable.

27. Changes to These Terms

Otto Travels may update these Terms from time to time to reflect changes to our services, business practices, technology or applicable legal requirements.

The updated version will be published on our website with a revised “Last Updated” date.

The Terms applicable to a particular booking or service will generally be those communicated to the client at the time the relevant service was purchased, subject to any changes required by law.

28. Governing Law

These Terms are governed by the laws applicable in the Federal Republic of Nigeria.

Any dispute arising from or relating to these Terms or the services provided by Otto Travels shall, where possible, first be addressed through good-faith discussion between the parties.

Where a dispute cannot be resolved amicably, it may be referred to the appropriate court or dispute-resolution mechanism with jurisdiction under applicable Nigerian law.

29. Severability

If any provision of these Terms is found to be invalid, unlawful or unenforceable, that provision shall be interpreted or modified to the extent necessary to make it lawful and enforceable, where possible.

The remaining provisions shall continue to apply.
